At ClearGrove, we are committed to providing high-quality photography services and ensuring client satisfaction. This Refund Policy outlines our guidelines for deposits, payments, cancellations, rescheduling, and refunds for our various photography services.
By booking our services, you agree to the terms outlined in this Refund Policy. Please read this policy carefully to understand your rights and obligations regarding payments and refunds.
Deposits and Payments
Booking Deposits
To secure your photography session or event date:
- A non-refundable booking deposit of 25% of the total service fee is required at the time of booking.
- Your booking is not confirmed until we receive both your deposit and a signed service agreement.
- The booking deposit serves to reserve your date and cover initial administrative work and pre-session planning.
Final Payments
For standard photography sessions and events:
- The remaining balance (75% of the total fee) is due 14 days prior to your scheduled session or event date.
- For last-minute bookings made less than 14 days before the session, the full payment is due at the time of booking.

All prices are in British Pounds (GBP) and include VAT where applicable.
Cancellation and Refund Policy
Client Cancellations
Our cancellation policy is as follows:

Special Circumstances
We understand that unforeseen circumstances can arise. In the event of serious illness, injury, or bereavement, we may, at our discretion, offer more flexible cancellation terms. Supporting documentation may be required.
Rescheduling
If you need to reschedule your photography session:
- Rescheduling requests made more than 14 days before the session can typically be accommodated at no additional charge, subject to our availability.
- Rescheduling requests made less than 14 days before the session will incur a rescheduling fee of £50.
- Sessions can only be rescheduled once. Additional rescheduling requests will be treated as a cancellation of the original booking and a new booking.
- Rescheduled sessions must take place within 6 months of the original date.
Service-Specific Refund Policies
Wedding Photography
Due to the unique nature of wedding photography and the extended booking timeframe:
- A non-refundable booking deposit of 25% is required to secure your wedding date.
- A second payment of 25% is due 6 months before the wedding date.
- The remaining 50% is due 30 days before the wedding date.
- Cancellations made more than 6 months before the wedding date will receive a refund of any payments made beyond the initial deposit.
- Cancellations made 3-6 months before the wedding date will receive a 25% refund of the total package price.
- Cancellations made less than 3 months before the wedding date will not receive a refund.
If you need to reschedule your wedding due to unforeseen circumstances, we will make reasonable efforts to accommodate the new date, subject to our availability. A rescheduling fee may apply.
Commercial Photography
For commercial photography projects:
- A non-refundable booking deposit of 40% is required to secure the project.
- The remaining 60% is due upon completion of the shoot, prior to the delivery of final images.
- Cancellations made more than 14 days before the scheduled shoot will receive a refund of any payments made beyond the initial deposit.
- Cancellations made less than 14 days before the scheduled shoot will not receive a refund.
For large commercial projects, custom payment schedules and cancellation terms may be negotiated and specified in the service agreement.
Photography Workshops
For our photography workshops and educational events:
- Full payment is required at the time of booking.
- Cancellations made more than 21 days before the workshop will receive a 75% refund.
- Cancellations made 7-21 days before the workshop will receive a 50% refund.
- Cancellations made less than 7 days before the workshop will not receive a refund.
- You may transfer your booking to another person at no additional cost, provided you notify us in advance.
If a workshop is canceled by ClearGrove for any reason, participants will receive a full refund or the option to transfer to another workshop date.
Digital Products and Prints
For digital products and print orders:
- Full payment is required at the time of ordering.
- Digital products (including downloadable images, presets, and educational materials) are non-refundable once delivered due to their digital nature.
- For print products, if you are not satisfied with the quality upon receipt, please contact us within 7 days. We may offer a reprint, replacement, or refund at our discretion.
- Custom-designed products (such as albums) are non-refundable once you have approved the design, unless there are manufacturing defects.
ClearGrove Cancellations
In the rare event that ClearGrove needs to cancel a photography session:
- If we cancel due to illness, injury, or other unavoidable circumstances, we will offer you the option to reschedule at no additional cost or receive a full refund of all payments made.
- If we cancel due to adverse weather conditions (for outdoor sessions), we will reschedule at no additional cost.
- In case of equipment failure, natural disasters, or other events beyond our control that prevent us from fulfilling our obligations, we will offer to reschedule or provide a full refund.
For wedding photography, we maintain relationships with backup photographers who can step in if the primary photographer becomes unavailable due to emergency. In such cases, we will make every effort to find a suitable replacement with a similar style and experience level.
Processing of Refunds
When a refund is approved:
- Refunds will be processed using the same payment method used for the original transaction, unless otherwise agreed.
- Standard refunds will be processed within 14 business days of approval.
- Bank transfer refunds may take 3-5 business days to appear in your account after processing.
- Credit/debit card refunds may take 5-10 business days to appear on your statement after processing.
Client Dissatisfaction
Our goal is your complete satisfaction with our services. If you are dissatisfied with your photography results:
- Please notify us in writing within 14 days of receiving your images, clearly outlining the specific issues.
- We will review your concerns and work with you to find a suitable resolution, which may include additional editing, a partial refund, or in extreme cases, a reshoot at a discounted rate.
- Full refunds for completed services are not typically offered but may be considered in exceptional circumstances at our discretion.
Please note that artistic style, composition choices, and editing style are subjective aspects of photography. Refunds based solely on subjective preferences are not provided if the work delivered is consistent with our portfolio and the style discussed during booking.
Force Majeure
ClearGrove shall not be liable for any failure or delay in performing our obligations where such failure or delay results from any cause beyond our reasonable control. Such causes include, but are not limited to: power failure, internet service provider failure, natural disasters, pandemics, government restrictions, acts of war or terrorism, or any other event that is beyond our control.
In case of such events, we will make reasonable efforts to reschedule your session. If rescheduling is not possible or desired, we will handle refunds on a case-by-case basis, taking into account the circumstances and expenses already incurred.
Changes to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting on our website. It is your responsibility to review this policy periodically. Your continued use of our services after any modifications indicates your acceptance of the updated policy.
